Oktoberfest 2025 Food Vendor Application and Registration

Food Vendor applications are only open to VBA members and Town of Vienna Businesses until May 1, 2025
The 2025 Oktoberfest event will feature:- Live Entertainment on Three Stages
- Multiple Beer/Wine Stations
- German & Multi-Cultural Food
- Great Free Kids Activities and Games
- Festival Marketplace
- Hand-Makers Marketplace
- Business Expo Showcase
- Health & Wellness Marketplace
- And LOADS and LOADS of FUN!!!
The Vienna Oktoberfest event provides an ideal venue to showcase your business to tens of thousands of attendees of all ages. This is an incredibly affordable way to market your business to the VA/MD/DC communities and have a great time doing it!
Booth Space Prices
Food Vendor Main Beer Garden - Must be German(ish) themed
VBA Member 10x10 $650
Non-VBA Member 10x10 $750
Food Vendor General Festival Grounds
VBA Member 10x10-10x20 $300 (VBA members in the sponsor area at 10ft unless prearranged with food chair)
VBA Member 10x30 $520 (all vendors over 20' long must choose this)
Non-VBA Member 10x20 $400
Non-VBA Member 10x30 $620 (all vendors over 20' long must choose this)
NO SPACES AVAILABLE OVER 30 FT
All tables/equipment/grills/generators/supplies/water barrel weights/etc. MUST fit into the space that you register for. Please keep in mind that Brooke Rental tents have water barrels attached inside your tent to secure the tents. Any vendors who exceed their registered space will be relocated to the end of the food area, or asked to leave. (so please, measure your space!). If you have questions, call us!
We will make every effort to limit duplication of foods offered by vendors. (per food area there will be 1 brat vendor, 1 Asian grill vendor, 1 Pizza vendor, etc). Priority for registration will go to the first vendor who is fully registered, based on the Priority criteria below.
Food Vendor priority is based on:
• Are you a Vienna Business Association member?
• Is your business in Vienna?
• Have you filed & paid all event meals taxes for all Vienna past events?
• Is your application complete & do we have payment?
• Are your food choices unique? (we limit duplication of menus/vendors)
• Have you applied for your FFX Co. temporary meals permit?
• Have we had any problems in past years with vendor following instructions for registration, set-up, or day-of activities?
To be fully registered, you must:
• Fully Complete online application. Must include menu items
• Submit payment in full within 30 days of registration
• Submit your Certificate of Insurance (COI) with the Town of Vienna and Vienna Business Association listed as Certificate holders
• Apply for your Fairfax County Temporary Food Permit (even brick and mortar businesses must apply)
• Pay the Town of Vienna Meals Tax prior to September 29, 2025 (this is a new process this year. Please read the attached Vendor application for specific details and tax amount (section 19).
Meals Tax fees are as follows:
10x10 space $50 (main beer garden & sponsor area only)
10x20 space $75
10x30 space $100
All Food Vendors:
• Must read entire application/contract & abide by all rules & regulations
• Must provide and display menu w/ price (inclds tax) and signage
• Alcohol sales or samples are strictly prohibited at any vendor booths
• Non-alcoholic beverages are permitted and must be listed on the application
• Your booth must comply with Health Department and Fire Marshal safety guidelines
• Apply for your Fairfax County Temporary Food Permit (even brick and mortar businesses)
• Must pre-pay your Town of Vienna Meals tax per fee schedule on attached application.
• Must be up-to-date with all past meals tax filings/payments in the Town of Vienna

** By submitting this online vendor registration form and payment you are acknowledging you have read and will abide by the Food Vendor Agreement. All must be received in order for your application to be a complete agreement by September 9, 2024
